Formula and Logic
The calculator uses different logic based on your selected accrual method:
- Per Pay Period: Total Accrued = (Number of Elapsed Pay Periods) × (Accrual Per Pay Period). Elapsed pay periods are calculated from the employee's start date to the current date.
- Per Hour Worked: Total Accrued = (Total Hours Worked) × (Accrual Rate). The accrual rate is the amount of PTO earned per hour worked (e.g., 0.025 for 1 hour of PTO per 40 hours worked).
- Annual Lump Sum: Total Accrued = (Annual Accrual Amount) × (Proration Factor). The proration factor is the percentage of the current year the employee has been employed, capped at 100%.
Remaining Balance = Total Accrued - Used Time Off. If a max carryover is set and the remaining balance exceeds this limit, the remaining balance is reduced to the max carryover amount.
